4. Form processing and notification delivery

Commission form submissions are transmitted to this website’s own interface on Cloudflare Pages and stored in a Cloudflare D1 database so that enquiries are not lost. For the notification to the business inbox listed above, the following delivery services may be used: the primary email delivery service Resend (the submitter’s email address is used as the reply address); alternatively, if the primary channel is unavailable, the form service Web3Forms, a Telegram bot message, or a webhook to an automation tool operated by the controller. The IP address is processed only in hashed form for abuse prevention (rate limiting) and is not stored in unhashed form. Only the services actually activated in the configuration are used. Review the current privacy notices, service terms, data-processing terms, data locations, security measures, and any transfer mechanism applicable to each service in use. Update this section if you change providers or the implementation.

5. Retention

Keep enquiry information only for as long as needed to manage the enquiry, any resulting contractual relationship, legitimate business records, and legal obligations. General enquiry correspondence is routinely reviewed and deleted after 12 months if no contract is concluded. Where a commission agreement is established, accounting records and invoices are retained in accordance with statutory commercial and tax retention periods.
